Terms of Use

1. General

The TaskTrack mobile application is owned, operated, and maintained by ANV Tech Private Limited (referred to as "ANV Tech," "TaskTrack," "We," "Our," "Us"). TaskTrack is a secure, real-time task management platform that enables organizations to manage tasks, departments, and team workflows efficiently.

The terms "We," "Us," and "Our" refer to ANV Tech, and the terms "You," "Your," and "Yourself" refer to the users of the Application ("Users"). "Users" includes administrators, heads of departments (HODs), employees, and any other individuals who access or use the TaskTrack application.

We are committed to complying with all applicable laws, including those related to the collection, processing, and transfer of personal data, as outlined in the Digital Personal Data Protection Act, 2023, the Information Technology Act, 2000, and other relevant regulations.

2. Important Terms

This document constitutes an "electronic contract" between TaskTrack and the User, which is legally binding under applicable laws, including the Information Technology Act, 2000 and the Information Technology (Intermediary Guidelines and Digital Media Ethics Code) Rules, 2021.

This document includes and shall always include (a) the Privacy Policy and (b) any other policy governing the use of the Application or the conduct of activities within the Application.

TaskTrack reserves the right to modify, add, or remove portions of these Terms at its discretion. You are responsible for reviewing the Terms periodically. By continuing to use the Application after such changes, you accept and agree to the revisions.

3. About the Application

TaskTrack is a comprehensive task management solution built for organizations. The platform offers:

• Task & Subtask Management: Create, assign, track, and complete tasks and subtasks with granular status control.
• Role-Based Access: Hierarchical roles including Admin, Head of Department (HOD), and Employee to enforce appropriate access boundaries.
• Real-Time Notifications: WebSocket-powered live updates and Firebase Cloud Messaging (FCM) push notifications for task events.
• Department Management: Organizational units and HOD hierarchies for structured workflow management.
• Follow-Up & Reminders: Automated follow-up reminders and snoozeable alerts for pending task actions.
• Audit Logs: Historical security and task activity logs retained for compliance purposes.
• Webhook Integration: External event notification support via configurable webhooks.

All data within the application is for internal organizational use only and is not intended for public sharing or external transactional purposes.

4. Eligibility

The Application is available to individuals and organizations that can form legally binding contracts under applicable laws. Users must be at least 18 years old to register and use TaskTrack.

If registering or using the Application on behalf of an organization, you confirm that you are duly authorized to bind that organization to these Terms. Your organization is responsible for ensuring that all its employees and users comply with these Terms.

5. User Registration & Account Security

Access to TaskTrack requires registration. During registration, you must provide accurate information including your name, email address, and other required details. You agree to keep this information current and up-to-date at all times.

Account creation is subject to Email OTP Verification. A one-time password (OTP) will be dispatched to your registered email address to verify your identity. You must complete this verification before you can log in and access the Application.

You are solely responsible for maintaining the confidentiality of your login credentials (username and password). Any unauthorized access resulting from your failure to secure your credentials is your responsibility. You must immediately notify TaskTrack of any suspected unauthorized access to your account at helpdesk@anvtech.co.

6. Role-Based Access & Permissions

TaskTrack enforces a strict role-based hierarchy to control data access and functionality:

• Admin: Full platform access including user management, role promotion, department configuration, audit log review, and webhook management.
• Head of Department (HOD): Department-scoped task management, task assignment to employees, and progress monitoring within their department.
• Employee: Access to assigned tasks, subtasks, follow-ups, and task status updates within their permission scope.

Role promotions (e.g., Employee to HOD or Admin) can only be performed by an authorized Administrator. You must not attempt to circumvent or bypass the role-access controls of the Application.

7. Acceptable Use of the Application

Users agree not to:

• Upload, share, or submit unlawful, offensive, or inappropriate content within tasks, comments, or any other feature of the Application.
• Attempt to gain unauthorized access to other users' accounts, data, or system components.
• Reverse-engineer, decompile, disassemble, or attempt to extract the source code of the Application or its backend services.
• Exploit vulnerabilities in the Application's GraphQL API, WebSocket connections, or any other component to gain elevated privileges or access restricted data.
• Interfere with or disrupt the functionality, servers, or networks connected to the Application.
• Use the Application for any illegal, fraudulent, or unauthorized purpose under applicable laws.
• Violate third-party intellectual property rights through content submitted within the platform.

8. Obligations of the Company

TaskTrack commits to:

• Providing services that are secure, functional, and backed by industry-standard authentication (JWT-based) and authorization (role-based) mechanisms.
• Maintaining real-time service reliability through WebSocket connections and background automation for task escalations and follow-up reminders.
• Handling your data with strict confidentiality and in compliance with applicable data protection laws.
• Dispatching timely email notifications for key account events such as password resets and email OTP verification.
• Maintaining audit logs of system and task-related activities for security compliance, retained for up to two (2) years.

9. Automated Background Services

TaskTrack operates automated background services that run scheduled routines to enhance your experience:

• Hourly: Task escalation re-evaluation and deadline reminder alerts delivered via push notifications.
• Every 2 Hours: Journal cleanups and archival of completed task records.
• Every 30 Minutes: Periodic event logging and system sync operations.
• Every 15 Minutes: Re-activation of snoozed follow-up alerts whose sleep timers have elapsed.

These automation routines run in the background without requiring user intervention. They are integral to the correct functioning of the platform and cannot be individually disabled by users.

10. Intellectual Property Rights

All content, design, code, APIs, trademarks, and other intellectual property within the TaskTrack application are owned or licensed by ANV Tech and are protected under applicable intellectual property laws. Users are granted a limited, non-exclusive, non-transferable license to use the Application solely for their internal organizational purposes. Unauthorized reproduction, distribution, or commercial exploitation of any part of the Application is strictly prohibited.

11. Data and Content Ownership

You retain ownership of the data and content you submit within the Application (such as task descriptions, updates, and comments). By submitting content, you grant TaskTrack a limited license to store, process, and display that content solely for the purpose of providing the Application's services.

TaskTrack does not claim ownership over your organizational task data and will not use it for any purpose beyond service delivery and system operation.

12. Disclaimer of Warranties

The Application and its services are provided "as is" and "as available" without warranties of any kind, either express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, or non-infringement. TaskTrack does not guarantee that the Application will be uninterrupted, error-free, or free of viruses or other harmful components.

13. Limitation of Liability

To the fullest extent permitted by applicable law, TaskTrack and ANV Tech shall not be liable for any direct, indirect, incidental, special, or consequential damages arising from your use of or inability to use the Application, including but not limited to loss of data, business disruption, or unauthorized access to your account. The Company's total liability, if any, shall be limited to the amount paid by you (if any) for access to the Application in the preceding three (3) months.

14. Indemnity

You agree to indemnify, defend, and hold harmless TaskTrack, ANV Tech, and their respective officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of or in connection with your use of the Application, your violation of these Terms, or your infringement of any third-party rights.

15. Termination

TaskTrack may suspend or permanently terminate your access to the Application at any time, with or without notice, if:

• You violate any provision of these Terms.
• Your account is involved in fraudulent, abusive, or illegal activity.
• Your organization's subscription or access agreement is terminated.

Upon termination, your right to use the Application immediately ceases. Provisions of these Terms that by their nature should survive termination shall remain in effect.

16. Notice

TaskTrack may communicate with you via email, SMS, or in-app push notifications (via Firebase Cloud Messaging). Notices regarding account events, security alerts, task escalations, and policy updates will be delivered through these channels. Any notices to TaskTrack must be sent to the designated contact provided in these Terms.

17. Severability

If any provision of these Terms is found to be invalid, illegal, or unenforceable by a competent court, the remaining provisions shall continue to be valid and in full force and effect. The invalid provision shall be modified to the minimum extent necessary to make it enforceable.

18. Waiver

Failure by TaskTrack to enforce any right or provision under these Terms shall not constitute a waiver of such right or provision. Any waiver of a specific breach shall not be deemed a waiver of any subsequent breach.

20. Governing Law and Jurisdiction

These Terms are governed by and construed in accordance with the laws of India. Any disputes arising out of or in connection with these Terms or the use of the Application shall be subject to the exclusive jurisdiction of the courts in Surat, Gujarat, India.
